Use one reference across every document
Give each asset a stable identifier. Reuse it in photographs, emails and revised lists. If you change the sale scope, keep the identifier and update the status rather than renumbering the whole spreadsheet.
Distinguish site, room and system
A site identifies the collection location; a room helps the local team find the item; a system reference groups connected modules. Those are different fields. Keeping them separate prevents a single LC stack from becoming four unrelated collection tasks.
Name the local coordinator
Identify who can confirm access and availability at each location. Do not publish their personal contact details in an open document. Share the appropriate business contact during the enquiry and confirm who can approve a release.
Control the final scope
Mark retained, removed and newly added items on each revision. Before collection, agree a final equipment list, accessories, terms and site responsibilities. A preliminary spreadsheet should not be mistaken for the final collection instruction.
A reusable equipment record
The CSV template opens in common spreadsheet applications. Keep one row per item and link related modules with a system reference. Leave genuinely unknown details marked as unknown.
