Do I need a separate enquiry for every site?

You can start with one overview if the enquiry has a common coordinator. Keep the item list organized by site and mark where ownership, condition or release dates differ.

How should I label the photographs?

Use the same site and asset reference as the spreadsheet, followed by a short description such as “overview” or “model-label.” Avoid putting confidential site details into public file names.

Can phased availability be included?

Yes. List each proposed phase and the dependencies that could change it. A department’s preferred date and an institution’s approved release date should remain distinct.
